Division of Registration and Student Affairs

This Division is responsible for the registration of newly admitted students at the beginning of each academic year in accordance with the central admission system of the Ministry of Higher Education and Scientific Research. Admission to the College is granted to students holding a secondary school certificate from Iraqi schools (Scientific or Literary branch), with the admission criteria determined by the Ministry.

Admission and Registration Procedures

The student is required to register for enrollment at the Division of Registration and Student Affairs and to provide the necessary documents and records required for admission.

Among the duties of the Division is also the issuance of administrative orders for students requesting a deferment. In such cases, if it is the student’s first deferment request, approval is granted by the College Council. However, if the student applies for a second deferment, the request is forwarded to the University Council for approval.

Eligible Degrees for Admission

Admission to the College of Agriculture is conducted centrally and is limited exclusively to graduates of the Scientific Branch of Secondary School. Applications are submitted through the admission centers of the Ministry of Higher Education and Scientific Research, which are distributed across all universities in Iraq and supervised by the Directorate of Studies, Planning, and Central Admission. This directorate is responsible for allocating secondary school graduates to colleges and institutes throughout the country based on the student’s preferences, differential score, and an automated system. It then issues the official lists of admitted students and their respective colleges or institutes, and distributes these lists to all concerned institutions, while also sending copies to the Ministry of Education to facilitate the issuance of certified transcripts of secondary school grades for the admitted students, directed to their respective colleges or institutes.

The student receives their school transcript after it has been issued and authenticated by the Directorate of Education, then collected from the school. Once verified to be free of errors or omissions, along with the student’s school ID card, the documents are submitted to the College or Institute of admission together with the other required documents.

Admission Procedures

After confirming their name on the official admission lists, the student must report in person to the concerned College, bringing along all required official documents. Personal presence is mandatory, and representation by proxy is not permitted. The registration process proceeds as follows:

  1. Receiving the payment receipt and enrollment confirmation from the College Accounts Division after paying the required fees.

  2. Receiving the registration forms from the “Reception and Registration Committee for New Students” of the College Registration Division. These forms include: the student’s file, student information form, ID request form, and the form for selecting the academic department.

  3. Completing all forms with accurate and correct student data, then submitting them to the Registration Division along with the required official documents for verification. These documents are then organized into a single student file.

  4. Presenting the completed file to the Head of the Registration Division for verification and signature. At this stage, the student also undergoes an interview to confirm fitness and eligibility for study. If deemed unfit, the student’s documents are returned to the Ministry of Higher Education and Scientific Research to reassign the student to a program compatible with their physical qualifications.

  5. The student must be personally present to complete all registration requirements within two weeks from the date of the official central admission list. Failure to do so will result in the cancellation of admission and loss of the student’s right to study.

At the end of the two-week registration period, the Registration Division distributes newly admitted students to the College’s academic departments in accordance with the student’s preference and differential score. Lists of registered students are then issued, classified by academic department. Finally, the student reports to their assigned department to begin study, where they are further distributed into classes and study groups, thereby becoming formally affiliated with the department.

Morning Registration Unit

The Morning Registration Unit is an integral part of the College’s Division of Registration and Student Affairs. It is responsible for managing and organizing the registration process for new and continuing students enrolled in the morning study program. This unit serves as the first point of contact for new students and ensures that the registration process runs smoothly, efficiently, and in accordance with the regulations and policies of the College, University, and Ministry.


Evening Registration Unit

The Evening Registration Unit is an essential component of the College’s Division of Registration and Student Affairs. It is tasked with managing and organizing the registration process for new and continuing students enrolled in the evening study program. As the first point of contact for new students in the evening program, the unit ensures that the registration process is conducted effectively, in compliance with the established regulations and policies of the College, University, and Ministry.


Documents and Master Sheet Unit

Within the College’s Division of Registration, the Documents and Master Sheet Unit is responsible for managing and organizing students’ academic records and official documents, with particular focus on the Master Sheet (the official grade register) and graduation-related documents.

Key Responsibilities:

  • Receiving and Storing Documents: Securely receiving and keeping official copies of students’ documents (such as school certificates, transcripts, and admission papers) in an organized manner.

  • Document Verification: Ensuring the accuracy and completeness of student documents in compliance with academic regulations.

  • Issuing Documents and Certifications: Providing students with official academic documents (such as transcripts, provisional graduation certificates, and enrollment verifications) upon request and after eligibility checks.

  • Responding to Verification Requests: Handling official correspondence from governmental or external institutions to verify the authenticity of documents issued by the College.

  • Archiving: Maintaining both paper and electronic archives of student records to guarantee preservation and accessibility.

  • Student Files Management: Creating, organizing, and regularly updating student files.

  • Statistics Preparation: Preparing statistics regarding the types and numbers of documents issued.

  • Regulations Compliance: Ensuring adherence to regulations and policies related to document management and issuance.
